Certification Agreement Policy

1. Introduction

This policy outlines the framework of the legally binding agreement between InterGlobal Certification Services Pvt Ltd (IGC) and its clients. Every organization applying for certification must enter into a formal Master Services Agreement (MSA) which incorporates the terms described herein. Our procedures are strictly governed by ISO/IEC 17021-1 and relevant mandatory documents.

2. Client Obligations

By entering into this agreement, the certified organization (the Client) commits to:

  • Compliance with Standards: Maintaining the management system in accordance with the relevant ISO standard at all times.
  • Access to Information: Providing IGC audit teams with access to all necessary documents, records, personnel, and sites (including remote sites) to evaluate the system effectively.
  • Observer Participation: Allowing accreditation body evaluators or trainee auditors to attend audits as observers when requested.
  • Safety: Ensuring a safe working environment for IGC auditors while they are on the client’s premises.

3. Notification of Change

The Client must inform IGC, without delay, of any significant changes that may affect the capability of the management system to continue to fulfill certification requirements. This includes changes related to:

  • Legal, commercial, organizational status, or ownership.
  • Organization and management (e.g., key managerial, decision-making, or technical staff).
  • Contact address and site locations.
  • Scope of operations under the certified management system.
  • Major changes to the management system and processes.

4. Rights and Duties of IGC

IGC is responsible for the impartial assessment of the client’s management system. IGC reserves the right to:

  • Grant or Refuse Certification: Based on a technical review of audit evidence.
  • Surveillance: Conduct annual surveillance audits to ensure the system remains effective.
  • Short-Notice Audits: Conduct audits at short notice to investigate complaints, in response to major changes, or to follow up on suspended clients.
  • Confidentiality: IGC ensures that all information obtained during the certification process is treated as strictly confidential, except where disclosure is required by law or accreditation rules.

5. Scope Management

This agreement covers the full lifecycle of the certificate. IGC maintains procedures for:

  • Expansion of Scope: When a client requests to add new products, services, or sites to their existing certificate.
  • Reduction of Scope: If a client fails to meet requirements for certain parts of the scope, IGC will reduce the certification to reflect the areas that remain compliant.
  • Suspension & Withdrawal: IGC may suspend or withdraw certification for persistent failure to meet audit requirements, misuse of marks, or non-payment of fees.

6. Vendor Terms and Fees

The financial terms of the certification are governed by the Vendor Terms provided at the quotation stage. Certification is subject to the timely payment of all application, audit, and administrative fees. Failure to settle invoices may lead to the suspension or withdrawal of the certificate.

7. Appeals and Complaints

The client has the right to appeal any certification decision made by IGC or to file a complaint regarding the conduct of IGC personnel. These processes are managed independently to ensure fairness.
